Rental terms
A plain-language summary of the rental agreement you sign online before your date is confirmed. You'll see the full agreement, with your event details and fees, before signing. If anything here differs from your signed agreement, the agreement applies.
What's included
- Each day includes up to 6 hours of truck time on site, counting 45 minutes for your operator to fire the oven before service and 30 minutes to break down after, plus 2 bags of hardwood.
- Extra time is $150 per hour on a standard day, billed in half hours. Day rates, and the extra-hour rate with them, are higher on peak dates.
- Only we drive or move the truck. We deliver it, show your operator how to fire, use and shut down the oven safely, and pick it up after the event.
Payment
- A refundable $500 damage deposit plus 50% of the rental is due when you sign the agreement. Your date is confirmed once it's received.
- The remaining 50% is due no later than the first event date.
Your responsibilities
- Provide a competent adult operator, aged 21 or older, who keeps the oven attended whenever it's lit.
- Burn only the hardwood we supply or approve. No accelerants, lighter fluid, or treated or painted wood.
- Arrange a level parking spot with your venue, plus any venue approval, fire permit and health permit your event needs. Food handling and food safety are your responsibility.
- Return the oven cleaned out and the truck in the condition it arrived in, apart from normal wear.
Insurance
- Before the event, you or the business running the oven must send a certificate of general liability insurance of at least $1,000,000 per occurrence, naming The Roman Events LLC as additional insured and certificate holder. A one-day special event policy is fine. It must arrive at least 3 days before the event.
Damage deposit
- We return the deposit within 5 business days after pickup, less any documented deductions for damage beyond normal wear, missing gear, extra cleaning or extra time. Any deduction comes with an itemized statement and photos.
Cancellation
- 14 or more days before the event: full refund.
- 7 to 13 days before: 50% of the rental payments made is refunded.
- Less than 7 days before, or for bookings made less than 7 days ahead: rental payments are non-refundable, and the remaining balance isn't owed.
- The damage deposit is always refunded in full when an event is cancelled.
- If we cancel for any reason, including a mechanical problem with the truck, you get a full refund.
Weather and safety
- If high wind, a fire restriction or a red-flag warning makes it unsafe to light the oven, either side may stop or postpone service. If the event is called off on the day for these reasons, you can move the booking once, to a date within 6 months, with your payments credited.
